The most common disappointment after a first encounter with AI: the system speaks beautifully and has no idea about our filing rules. That is not a flaw in the model, it is a lack of access to data.
Step by step
1. Split
Documents are cut into fragments a few paragraphs long so they can be found precisely.
2. Index
Each fragment gets a numeric representation, which allows searching by meaning rather than by exact wording.
3. Retrieve
The user's question goes into the same index; the system picks the closest matching fragments.
4. Answer
The model receives the question together with those fragments and answers from them, citing the source.
Why this beats retraining the model
- changing a procedure means replacing a document, not running training again;
- the answer points back to a source, so it can be verified;
- permissions hold: an employee only sees documents they already have access to.
Where it breaks down
If the documents contradict each other, the model inherits the contradiction. If they are out of date, the answer will be out of date. Order in the repository is the precondition for sensible answers - and it usually turns out to be the hardest part of the project, not the technology.
